If you run a small business in India right now, you have probably noticed that everyone around you has started talking about AI. Your wholesaler uses it to write WhatsApp catalogues, your neighbour's coaching centre generates posters for Diwali offers, and your CA sends invoice reminders that sound suspiciously polished. The good news is that almost all of this is possible with tools that cost nothing.

The bad news is that the internet is drowning in "50 best AI tools" lists that copy each other and recommend tools you will never open twice. I work with small businesses on their websites and digital setup every week, so this list is different. These are tools I have actually seen shop owners, consultants and service providers in India stick with, what each one is genuinely good at, and the point where each free tier runs out.

What free AI can realistically do for your business

Before the list, one honest paragraph. AI is not going to run your business. What it does well is the boring first draft: the caption, the reminder message, the poster layout, the summary of a long PDF. What it does badly is anything that needs your judgement — pricing, promises to customers, local knowledge. Every tool below follows the same pattern: it does maybe 70 percent of the work in seconds, and your job is the last 30 percent, which is the part that makes it sound like you.

ChatGPT or Gemini — pick one, learn it properly

The single most useful free AI for a small business is already in your phone. ChatGPT's free tier and Google's Gemini both do the same core jobs: drafting messages, writing product descriptions, summarising long documents, translating between English and Indian languages, and answering "how do I" questions about software you use.

Which should you pick? If your business already lives inside Google — Gmail, Google Docs, Google Business Profile — start with Gemini, because it is built into tools you open anyway. If not, ChatGPT's free tier is the more common starting point and most tutorials online assume it.

The mistake I see constantly is using it like a search engine. A prompt like "write a social media post" gives you a generic post nobody engages with. Instead, paste in real details: "Write a WhatsApp status message announcing 20 percent off on bridal mehendi bookings for November, mention that we are in Anna Nagar and take bookings on WhatsApp." Specifics in, useful output out.

Where the free tier runs out: both have daily limits on their smarter models. For a small business's daily drafting needs, you will rarely hit them.

Canva Free — posters, catalogues and festival creatives

Every Indian small business needs visuals: the menu board, the Deepavali offer poster, the Instagram cover, the wedding-card catalogue. Canva Free has thousands of templates for exactly these, and its AI features — text-to-image, background remover, magic resize — work on the free tier with limits.

The magic resize alone saves an hour every festival season. Design one offer poster, click resize, and it adapts to WhatsApp status, Instagram post and Facebook cover. Add your logo once and it stays in every template.

Where the free tier runs out: background remover has a monthly limit, some premium templates are locked, and brand kits are paid. For most shops, free is genuinely enough.

WhatsApp Business — the AI features you already own

This one surprises people. If you have the free WhatsApp Business app, you already have AI-adjacent tools that outperform most chatbots for Indian customers: quick replies for your ten most-asked questions, greeting messages for first-time contacts, away messages for after hours, and catalogues that show products right inside the chat.

The AI part is in how you use it. Ask ChatGPT or Gemini to draft your quick replies — paste in your five most common customer questions and your usual answers, and ask it to make them shorter and friendlier. Ten minutes of setup, and every enquiry after that gets an instant, professional response.

Where the free tier runs out: it doesn't, meaningfully. WhatsApp Business app is free; the API (for large-scale automation) is what costs money.

Google's AI features — free inside tools you already use

If you write anything in Google Docs — quotations, proposals, Letters — Gemini's help is available right in the document on free Gmail accounts, with monthly limits. Gemini in Gmail drafts and tightens emails. Google Sheets has AI formula help. And the Gemini app itself is free on your phone.

For most small businesses this is the lowest-friction starting point because there is no new app to learn. The AI appears inside the tabs you already have open.

Where the free tier runs out: the in-Docs and in-Gmail features have monthly caps. When you hit them, the Gemini app remains free.

Grammarly Free — because English errors cost trust

If your customers read your English — websites, quotations, Instagram captions — small grammar slips quietly cost you credibility. Grammarly's free version checks spelling, grammar and basic clarity in everything you type in the browser: Gmail, WhatsApp Web, Canva text boxes.

It is not AI in the flashy sense, but it is the tool I most often see make an immediate difference for service businesses — consultants, designers, agencies — whose clients judge them on written English.

Where the free tier runs out: the free tier covers correctness. Tone rewriting and full-sentence suggestions are paid. That is fine — correctness is the part that matters.

A note on the Hindi and regional-language opportunity

Person typing on a phone in a busy Indian market street

One thing none of the international listicles mention: these tools are now genuinely good at Indian languages. Gemini and ChatGPT draft natural Hindi, Tamil and Telugu messages. Canva's text-to-image understands Devanagari prompts. If your customers think in Tamil or Hindi but your marketing is in English, you have an advantage sitting unused — a Tamil WhatsApp broadcast about your silk saree stock will outsell an English one for many audiences.

This matters for search too. Queries like "AI se WhatsApp status kaise banaye" or "free AI tools business ke liye" have enormous volume in India and almost no good content. Most businesses have not noticed yet.

What I would actually set up, in order

Do not install everything above this week. Here is the sequence I suggest to clients:

  1. Week 1: Pick ChatGPT or Gemini. Draft your ten WhatsApp quick replies with it. Nothing else.
  2. Week 2: Make next month's festival/offer posters in Canva Free instead of paying a designer for routine creatives.
  3. Week 3: Turn on Grammarly in your browser. Read its suggestions and notice your own patterns.
  4. Week 4: Ask your AI tool to summarise one long document you have been avoiding — a tender PDF, a lease agreement, a supplier contract (double-check the important parts yourself).

By the end of a month you will have used AI for communication, design, writing and comprehension — the four places it earns its keep — without paying a rupee.

The part AI will not do for you

Here is the uncomfortable bit from someone who builds websites for a living. These tools make your marketing faster, but they do not make customers find you. A beautiful Canva poster still needs an audience. A polished quotation still needs an incoming enquiry. That enquiry comes from being findable — a Google Business Profile with real reviews, a simple website that states clearly what you do and where, and content that answers the questions your customers actually type.

AI can help you build all of that too. But it starts with someone deciding the business deserves to be visible. If you are at that stage and want a straightforward opinion on your website or your Google presence, that conversation is what I do all day — you can see my services here or look through recent work.
